USO-AutoUpdate version for Serco CMIS now available

USO-AutoUpdate for Serco Facility CMIS has successfully finished a run of beta trials and is now on full release to schools signed up to LGfL 2.0 at no additional cost. Schools using CMIS can install USO-AutoUpdate to automate the export of data from their MIS directly into the LGfL USO, affording them better controlled and more secure access to London Grid for Learning content and services.

To obtain the software, a school’s Nominated Contact can access the installation guide from the LGfL Support Site User Guide, which also contains the link for the software download.

USO-AutoUpdate for Serco CMIS is undergoing release trials

USO-AutoUpdate software has recently been updated to allow extraction of data from Serco CMIS. Schools using this MIS can obtain a copy of the USO-AutoUpdate software on request to create and maintain their pupil and staff USO accounts. All schools using USO-AutoUpdate for the first time will need to enable the software to export data via the AutoUpdate settings page in the USO support site.

The software is undergoing final trials in various schools at the moment.  Anyone wishing to participate in the trial may do so on the understanding that the software provided is a Beta version. To obtain the software, a Nominated Contact will need to raise a support case and request that the software is enabled for their school. A link to the correct version of the software download will then be provided via the support case. USO-AutoUpdate has been released for Wauton Samuel users

Schools using the Wauton Samuel MIS can now make use of LGfL USO-AutoUpdate software to create and maintain their pupil and staff USO accounts. Schools that have been managing user accounts manually can now automate the updating of USO account data, greatly reducing the amount of work involved in the administration of user accounts via regular, scheduled exports of agreed data fields.

Schools that have been using a different, or third party, exporting process can now switch to USO-AutoUpdate. The current software will need to be disabled before AutoUpdate can be used. All schools using USO-AutoUpdate for the first time will need to enable the software via the AutoUpdate settings page in the USO support site.

Schools will need to have a recent, USO-AutoUpdate-compatible, version of Wauton Samuel School Web Services installed and obtain the relevant login details from Wauton Samuel. They should then download the USO-AutoUpdate software from the link provided in the USO Support Site User Guide (via the Blue ‘Help’ button). Attendance exports now available to Pearson E1 and Integris G2 users

We are pleased to announce that schools using the Pearson E1 and Integris G2 MIS products can now export attendance data once or twice daily via USO-AutoUpdate to use in conjunction with USO-AutoText.

Once data is exported, unauthorised absence reports are available to view through the USO-AutoText interface and notifications can be sent to all parents/guardians’ mobile phones with just a few clicks.

In order to make use of the attendance reporting functionality, the school’s Head must first go to the AutoUpdate settings page in the support site and accept the Atomwide Attendance report. A school must also subscribe to USO-AutoText to use the available data for contacting parents and guardians.

After the attendance report has been accepted via the support site, the Head or Nominated Contact can schedule when the export(s) should be run by using the scheduling tool provided on the left-hand side of the AutoUpdate Settings page. Full details on how to schedule exports are available in the support site manual.

New addition for schools exporting attendance data via USO-AutoUpdate

All schools using USO-AutoUpdate to export attendance data either once or twice per day, can now be notified when their exported attendance data has been processed. This added feature is optional and is intended to eliminate guesswork by letting schools know exactly when their exported data is ready to be used in USO-AutoText to contact parents/guardians of absent pupils.

To make use of the new feature, the person who takes responsibility for sending absence notifications via USO-AutoText will need to have the Role of “Attendance Officer” added to their USO account profile. This role can be added to a user’s USO account by a Nominated Contact or another user with higher-level permissions.

Once the role has been added in USO, the Attendance Officer will receive automated emails from the processing system letting them know that the most recent attendance export has been processed and results can be seen in USO-AutoText.

USO-AutoUpdate and RM Integris G2

AutoUpdate can now be used with RM Integris G2 MIS products to export data to the USO database.

Schools do not need to install any software at their end. Instead, they will need to fill out a form and send it to RM who will then provide the school with instructions on how to create a G2 web service user.

The school’s Head will also need to enable the reports for export via the AutoUpdate settings page in the support site.

New Data Export controls for USO-AutoUpdate

An additional page has been added to the support site which allows staff at schools it identify data being exported from the schools MIS system into USO using AutoUpdate.

All users can view the state of the exports and can see which fields are being exported by the various reports that are available to the school but only Head Teachers can authorise the release of data from their school into USO.

Installed copies of USO-AutoUpdate will NOT allow for the export of data unless the desired report has been authorised by the Head Teacher in the school.

It is also possible to view the log files relating to the AutoUpdate reports being run on the same page.

Recent changes to USO-AutoUpdate overnight process

The overnight task that processes a school’s exported data from its MIS has been amended to do the following:

1) Automatically mark staff mobile numbers as verified where the headteacher of a school has specified that this should happen. The headteacher can set this option via the ‘Configure settings’ page, found here, under the SMS tab on the support site.

2) Staff USO accounts will have their association with a school removed if they no longer appear in the exported data for the school and they are recognised as having been in a previously processed MIS extract from the school. If the account only has one association then the account will be moved to the unallocated pool. A LA can stop this process by raising a support case and requesting that the feature be turned off.

These new features will help streamline the management of USO accounts for a school and ensure the USO accounts match the school’s MIS data.

USO-AutoUpdate is updated!

An updated version (v1.1.2.0) of USO-AutoUpdate has now been released.

The main changes are:

1) The software will now work in 64-bit Windows, as Windows will run it in 32-bit compatibility mode.

2) The app and the update tool check that you have admin rights. If you don’t, then you can’t set a schedule, the software will not update, and settings will not be saved. You should still be able to run a report, presuming that an admin account has previously configured the settings.

3) Changes have now been implemented which will improve the robustness of the application in situations where web services calls fail.

USO-AutoUpdate is a new service from Atomwide, approved by Capita, which automates the exporting of data from SIMS (other MIS support is planned for the future) into the Atomwide/LGfL USO service.

A highly granular level of control and visibility is offered on the details that are exported into USO, which can include staff, pupils, and parents, including parent or guardian contact details.

The product is available on a per school basis, or as a bulk purchase at LA level, for new and existing USO users. The latter is the recommended process of procurement, especially if part of a new USO rollout across an LA.

As part of the process, the USO support site provides an interface to allow the management of user details as they are imported and to allow for the cleansing of any erroneous data whether in the MIS system or in USO.

Wauton Samuel <> USO integration

Wauton Samuel have just completed work that allows School MIS system to automatically update the USO database in a similar way to that of the GroupCall exporter product. This package completely automates to process of creation of USO users.
